GroomPin Privacy Policy
Effective date: October 6, 2026
GroomPin is a scheduling app for mobile pet groomers, made by LABSCIENCELOGISTICS LLC, a Florida limited liability company ("GroomPin", "we", "us"). This policy explains what information GroomPin collects, why, who we share it with, and the choices you have.
It covers:
- Groomers and their team members who use the GroomPin app ("you").
- Pet owners who book through a groomer's GroomPin booking page or booking form ("customers").
The short version: we collect what's needed to run a grooming schedule, we don't sell anyone's information, we don't show ads, and we don't track you across other apps or websites. You can delete your account and data from inside the app at any time.
1. Who is responsible for what
- Your GroomPin account and business settings: we are responsible for this information.
- Information about a groomer's clients and pets (entered by the groomer or by customers on the groomer's booking page): the groomer's business decides what to collect and how to use it, and is responsible for it. We store and process it on the groomer's behalf, only to provide GroomPin to them. Customers with questions about their information should contact the groomer first. We will help the groomer respond.
2. Information we collect
From groomers and team members
- Account details: email address and password. Passwords are stored securely hashed; we can't see them.
- Your name and role (owner or team member).
- Business details: business name, contact phone number, social media handle, country, time zone, services and prices, working days and hours, cleanup time, route rules, home base address and its map location, service areas, repeat-customer settings, email reminder setting, and your booking link name. The time zone comes from your phone's settings and is used only to send reminders at the right time of day.
- Team invite codes you create.
- Subscription details: your plan, its renewal date, and which store you bought it through. We never receive or store your card details.
- Google Play: Google handles the payment.
- Our website: you enter your card on a checkout run by Stripe and RevenueCat. They receive the email and payment details you enter there, and a billing address when tax rules need one.
Information about clients and pets
Entered by the groomer, or by the customer on a booking page:
- Client details: name, mobile number, email (optional), and address, with its map location (used to work out drive times).
- Pet details: name, species, breed, size, and care notes, for example "nervous", "needs a muzzle", "no perfume", "senior", "sensitive skin", "matted coat", allergies, or other notes. Care notes can describe a pet's health or behavior.
- Appointments: date, time, services, add-ons, price, any discount, and when appointment emails (such as a reminder or "on my way") were sent.
- Reference photos: up to 3 photos per booking that a customer chooses to upload.
From the device, only with permission
- Calendar: if a groomer turns on calendar sync, GroomPin adds, updates and removes its own appointment events in a calendar on the groomer's phone. It looks only for events it created. Calendar information stays on the phone and is not sent to us.
- Photos: on the booking page, customers can choose photos from their library. We receive only the photos they choose.
What we don't collect
We don't collect precise device location, contacts, advertising IDs, or browsing history. We don't use analytics or advertising trackers.
3. How we use information
To provide GroomPin: schedules, drive-time-aware booking, the booking page, team sharing, calendar sync, and repeat-customer tracking.
To look up addresses on the map so drive times can be estimated.
To sign you in, keep your account secure, and send account emails (confirm your email, reset your password).
To send appointment emails for the groomer:
- to customers: a confirmation with a private link to change or cancel (for online bookings), a reminder the evening before a visit (the groomer can turn reminders off), "on my way" and "your pet is ready" messages when the groomer taps those buttons, and a notice when a visit is cancelled
- to groomers: a notice when a customer books online or cancels
These emails are about the customer's own appointments. They are not marketing, and they include the groomer's name and, if the groomer added one, their phone number.
To manage your free trial and subscription.
To respond to your questions and feedback.
To keep GroomPin safe, prevent misuse, and meet legal obligations.
We do not sell personal information, share it for advertising, or use it to build advertising profiles.
4. Who can see information
- Your team: everyone on a business's team can see that business's schedule, clients, pets, photos and settings. Only the owner can change certain settings, invite people, or remove team members.
- Customers: a booking page shows the business name, services, prices and available times. It never shows other clients' names, contact details or exact addresses. To check drive times, the page uses other appointments' locations rounded to about 1 km (0.6 miles), without names.
- No one else, except the service providers below and where the law requires it.
5. Service providers
We use a small number of providers to run GroomPin. They may only use the information to provide their service to us.
| Provider | What for | Information involved |
|---|---|---|
| Supabase (database, sign-in and file storage; servers in the United States) | Storing and securing all app data and photos | All of the information in section 2 except calendar data |
| OpenStreetMap Foundation (Nominatim address search) | Turning a typed address or postcode into a map location | The address text being looked up |
| Google Play | App downloads and subscription payments in the Android app | Handled under Google's privacy policy. We don't receive your card details. |
| Stripe | Card payments for subscriptions bought on our website | Card and billing details you enter at checkout, and your email. Handled under Stripe's privacy policy. We don't receive your full card details. |
| Resend | Sending account emails and appointment emails | The recipient's email address and the email content, such as names, pet names, the appointment time, service and address, and the groomer's business name and phone number |
| RevenueCat | Managing subscriptions bought through Google Play or our website, and the website checkout and billing page | Your business's account ID, plan and purchase status, and for website purchases the email you enter at checkout |
We will update this list if we add or change providers.
6. How long we keep information
- We keep information while the account is active.
- Deleting your account (Settings → Delete my account):
- Owners: removes your login and your business, along with all its clients, pets, appointments, services, photos and settings, straight away.
- Team members: removes your login and takes you off the team. The business's information stays with the business.
- A groomer can delete individual clients, pets and appointments at any time.
- Deleted information may remain in secure backups for up to 30 days before it is permanently erased.
- Without the app: you can ask us to delete your account at groompin.app/delete-account or by emailing [email protected].
7. Security
- Information is encrypted in transit (HTTPS).
- Access rules in our database make sure each business can reach only its own information.
- Reference photos are stored privately and can be viewed only by the groomer's team, through links that expire.
- No system is perfectly secure. If we become aware of a breach that affects you, we will tell you as the law requires.
8. Your rights and choices
Depending on where you live, including under UK GDPR, Canadian privacy law (PIPEDA), and US state laws such as the California Consumer Privacy Act, you may have the right to:
- access the personal information we hold about you, or get a copy of it
- correct it
- delete it
- object to or restrict certain uses
- complain to your local data protection authority (in the UK, the Information Commissioner's Office)
How to exercise these rights:
- Groomers: most of this can be done in the app. Otherwise, email [email protected].
- Customers: please contact the groomer you booked with. You can also email us and we will pass your request on and help. If you'd rather not get reminder emails, ask your groomer to remove your email address, or email us.
We won't treat you differently for using your rights. Where the law requires a legal basis for using information (UK), we rely on:
- performing our contract with you (running GroomPin)
- our legitimate interests (keeping GroomPin secure and improving it)
- legal obligations
- your consent, for device permissions like calendar and photos
9. Children
GroomPin is for businesses and adults. It is not directed at children under 16, and we don't knowingly collect information from them. If you believe a child has given us information, contact us and we will delete it.
10. International transfers
GroomPin's data is stored in the United States. If you use GroomPin from Canada or the UK, your information is transferred to the US. Where required, we use appropriate safeguards, such as standard contractual clauses, with our providers.
11. Changes to this policy
We may update this policy as GroomPin changes. We'll post the new version at groompin.app/privacy and update the effective date. If the changes are significant, we'll tell you in the app or by email before they take effect.
